Privacy Policy

This policy explains how MyAccountBooks handles account data, encrypted safety, accounting records, files, imports, reimbursements, accountant collaboration, purchases, support, diagnostics, and security incidents.

1. Who we are and scope

“MyAccountBooks”, “we”, “us”, or “our” means the MyAccountBooks app, website, and related services operated by the owner or legal entity identified on our Contact/About page. This Privacy Policy applies to the MyAccountBooks mobile app, web app, website, support channels, and related services.

MyAccountBooks is designed for personal finance, proprietor accounting, company records, billing, inventory, reimbursements, import/export workflows, files, backups, and accountant collaboration. Because the app may process financial and business records, you should read this policy carefully before using the service.

2. Data we may process

  • Account information: name, email address, phone number if provided, authentication records, account status, app settings, device/session information, and support identifiers.
  • Accounting and financial records: entries, categories, sources, currencies, balances, statements, imported rows, transaction details, financial statements, billing records, inventory records, reimbursement claims, approvals, payer/claimer status, and accountant workflow records.
  • Files and attachments: receipts, invoices, bills, bank/card/cart statements, contract notes, import files, exported files, archive history, backup metadata, and file indexes.
  • Company, member, accountant, and partner information: company details, member roles, invitations, permissions, accountant links, access grants, working papers, proposed/posted adjustments, partner codes, commission records, payout status, and partner onboarding information.
  • Purchase and subscription data: product purchased, subscription status, trial/founder pricing status, store transaction identifiers, entitlement status, renewal/lapse status, and refund/cancellation status as provided by app stores or purchase providers.
  • Connected service data: if you connect Google Drive, OneDrive, Dropbox, Appwrite, email, or other services, we may process tokens, metadata, backup paths, sync status, file names, provider IDs, and related logs needed for the feature.
  • Support, diagnostics, and security logs: messages you send us, issue details, diagnostic logs, crash/error data, sync status, device/app version, operating system, security logs, and incident records.

3. How we use information

We use information to provide, secure, support, improve, and maintain the service, including account login, entries, reports, files, sync, backup/restore, imports, exports, billing, inventory, reimbursements, accountant collaboration, purchases, subscriptions, founder pricing, referrals, partner commissions, diagnostics, fraud prevention, and legal compliance.

Depending on your location, our lawful grounds may include consent, contract performance, legal obligations, legitimate interests, fraud/security prevention, or other grounds permitted by applicable law.

4. Sharing and disclosures

We do not sell your private accounting data. We may share or make data available only as needed for the service, your choices, or legal requirements.

  • Roles you configure: company owners, members, managers, payers, approvers, employees, and accountants may see data according to roles, grants, and permissions.
  • Accountants and professionals: when you link or grant access to an accountant, only the data covered by the relationship, grant, role, scope, date range, source, and access level should be visible. You are responsible for checking what you send or grant.
  • Service providers: hosting, backend infrastructure, storage providers, app stores, payment/subscription providers, analytics/crash tools if enabled, email/support tools, and security tools may process data for us.
  • Legal and safety: we may disclose information if required by law, court order, lawful government request, to enforce our terms, protect rights and safety, prevent fraud, or respond to security incidents.

5. Encrypted safety and security design

Encrypted safety: MyAccountBooks is designed to protect user content with local encryption and password-derived unlocking where the app indicates encrypted storage. This is intended to reduce exposure of readable business and financial data.

Where end-to-end or local encryption is implemented, your readable accounting content should be unlockable only with your password-derived key or required local credentials. Bootstrap/login metadata, sync metadata, purchase metadata, diagnostics, or technical records may be processed separately and may not contain readable business or financial content unless needed for the feature or support.

You are responsible for keeping your password, device, recovery information, biometric unlock, operating system, cloud-drive account, and connected storage accounts safe. If you lose the password, key, device credentials, or recovery information required to unlock encrypted content, we may not be able to recover that encrypted content for you.

No encryption or security system is perfect. Encryption may not protect data after you export it, share it, grant accountant/member access, upload it to a connected storage provider, send it by email/WhatsApp, store screenshots, or save it outside MyAccountBooks.

6. Data breach and security incidents

We use reasonable administrative, technical, and organizational safeguards to reduce the risk of unauthorized access, loss, misuse, alteration, or disclosure. However, no app, device, network, hosting provider, cloud drive, app store, payment provider, accountant workflow, or internet transmission can be guaranteed to be completely secure.

If we become aware of a personal data breach or security incident affecting information under our control, we will investigate, take reasonable containment and remediation steps, and notify affected users, authorities, app stores, or other parties where required by applicable law. The timing, content, and method of notice may depend on legal requirements, investigation needs, law-enforcement requests, technical feasibility, and the nature of the incident.

You agree that we are not responsible for breaches or losses caused by your device compromise, weak or shared passwords, lost devices, malware, phishing, user error, unauthorized sharing, third-party storage/provider incidents, accountant/member misuse, exported files, screenshots, email/WhatsApp sharing, or access you grant to others, except to the extent liability cannot be excluded by applicable law.

7. Retention, backups, and deletion

We keep information for as long as needed to provide the service, maintain backups, comply with law, resolve disputes, prevent fraud/abuse, support audits, and enforce agreements. You may export or delete data using app features where available.

If you request account deletion, we will process the request according to applicable law, store policies, security requirements, and legitimate retention needs. Some records may be retained where required for legal, tax, fraud-prevention, security, accounting, or dispute-resolution purposes, or where data exists in backups until backup rotation occurs.

8. Your choices and rights

Subject to applicable law and verification, you may have rights to access, correct, update, export, delete, restrict, object to, or withdraw consent for certain personal data. You may also have rights to complain to a data protection authority.

To exercise rights, use in-app tools where available or contact us at legal@myaccountbooks.com. We may ask you to verify your identity and account ownership before acting on requests.

9. Children, international transfers, and changes

MyAccountBooks is not intended for children. Your information may be processed in India and other countries where we or our service providers operate. We may update this Privacy Policy as the app, laws, or store requirements change. Continued use after changes means you accept the updated policy where permitted by law.
